Gideon Taylor Prototypes E-Verify Integration
Gideon Taylor introduced their Paperless I-9 Form in March 2008. Now, GT has succeeded in seamlessly integrating the Paperless I-9 with the Department of Homeland Security’s E-Verify system, which validates eligibility to work in the US. GT has completed a working prototype for the integration, and is pressing forward with beta development of the integration.
When the I-9 is created online, it automatically creates an E-Verify case and returns the result. The completed system will close authorized cases, and automate the employee’s contesting of tentative negative results. For positive results, the E-Verify integration will occur seamlessly, requiring no additional effort from the employer!
As the federal government moves toward mandating E-Verify participation for many organizations, GT hopes to provide clients with an efficient way to comply with E-Verify, and at the same time, automating the I-9 Form itself. See the full press release.

GT Personnel eFile Goes Live at University of Alberta
After much praise during user acceptance testing, the University of Alberta completed the implementation of GT Personnel eFile.
Jointly developed by GT, Sierra Systems and UofA, when ePAFs like the New Hire Form are completed online, supporting documents can be scanned and attached to the eForm. Downstream approvers can view the attachments, and using GT Personnel eFile, all of an employee’s ePAFs, their attachments, and any additional scanned documents for that person can be viewed and managed from one place. The whole paper personnel file can now be moved online, and the “paperwork” keeps up with the electronic forms!

University of Alberta Sponsors GT Personnel eFile
The University of Alberta in Edmonton has commissioned Gideon Taylor, in conjunction with our partner Sierra Systems, to create an online personnel file solution. This functionality will extend their successful ePAF™ implementation (called SmartForms) by allowing both eForms and paper forms to be combined and accessed in a single, online repository. The result will a completely paperless personnel file!
GT Personnel eFile will provide multiple views, including a Historical View that blends eForms and Attachments in date order, and a Structured View that organizes the entries by type. Notes can be added and stored by authorized users.
This functionality will be added to the GT eForms Library, and will be accessible without additional charge to all our GT eForms licensees.

GT eForms and ePAFT Go Live at University of Oklahoma - Norman
This was a GT eForms implementation for a large university with over 10,000 active employees. The project was completed within the 5 month project timeline and on budget. The greatest complexity of the project was the business requirement to support up to 24 levels of approval per transaction. This requirement was met with conditional routing enhancements, resulting in significant improvements in processing time over the previous system. See the full news release.

GT eForms and ePAF™ Go Live at All Four Campuses of the University of Houston
Congratulations to the University of Houston on their successful implementation project!
This project featured an interface with the PeopleAdmin recruiting system, and an interface with Houston’s document imaging system. The imaging system interface allows scanned and desktop documents to be attached to eForms, stored in the enterprise document repository, and accessed later via links stored with the eForm itself.

GT eForms and ePAFT Go Live at University of Utah
The University of Utah has turned on ePAF™ for their user community, and has received very positive feedback both from the user departments and from HR. The project was completed on time, despite significant additions to the project scope. Some of these are listed below:

University of Oklahoma Expands Implementation of GT eForms / ePAF™
University of Oklahoma has contracted with Gideon Taylor to expand their implementation of GT eForms / ePAF™ to their Norman campus. After the successful implementation at OU-HSC, the Norman campus also recognizes the positive impact that further expansion of GT eForms™ will have for them.

University of Utah Chooses GT eForms / ePAF™
Gideon Taylor has contracted with the University of Utah to license our GT eForms / ePAF™ solution for the Division of Human Resources. The University will use GT eForms™ to automate and streamline its personnel action forms. This is one of the first steps HRIS (HR Information Systems) is taking to improve many of their business processes.

University of Florida Saves Money with ePAFT
The University of Florida conducted an internal ROI (Return on Investment) Analysis on GT eForms and ePAFT one year after implementation. The purpose of the University's study was to measure the actual impact of the project in terms of financial savings as well as improved processes. The study sites that through the use of ePAFT the University was able to:
- Realize a savings of over $342,000
- Reduce data entry time by 75%
- Receiving / General Ledger Reconciliation

University of Florida Wins Florida 2007 Davis Productivity Award The GT eForms and ePAFT project team at the University of Florida was recently won a 2007 Davis Productivity Award for their accomplishments with GT eForms and ePAFT. 5 April 2007 GT eForms Library Catalog Posted We have updated the GT eForms Library catalog and posted it in the Resources section of our website. Licensees of our GT eForms product, an electronic form development toolkit for PeopleSoft applications, form a collaborative community of users that can share eForms solutions among themselves. Gideon Taylor facilitates this community by redistributing the eForms in the library upon request from our clients. This innovative approach gives our clients access to pre-developed solutions that can then be customized for their own use, reducing development costs and duplication.
30 March 2007 Gideon Taylor Completes Academic ePAF™ for University of Alberta Our consulting team successfully completed development and unit testing for the Academics phase of their ePAF™ implementation. The University is planning to go live with its full ePAF™ solution after a round of application patches is completed. With this success, our consulting team has rolled off the project. Our Sierra Systems partners will complete the migration to Production.

1 March 2007 Gideon Taylor Completes ePAF™ Phase II Tasks for OU Health Sciences Center The University of Oklahoma Health Sciences Center engaged Gideon Taylor for Phase II tasks to expand their ePAF™ solution to provide additional functionality for Faculty. Our consulting team's contributions include the following enhancements:
- A Faculty Titles eForm that gathers multiple faculty titles, obtains appropriate approvals, and enters the titles into PeopleSoft's Manage Faculty Events module.
- Real-time Action/Reason calculation for Job Changes, which displays to the user the Action/Reasons that will be entered into Job Data as a result of the changes they make.
- Sophisticated Earnings Distribution calculation tools that allow them to move funds among multiple funding sources and funding departments with a single eForm. This includes routings to approvers for all the departments affected.
6 February 2007 BYU Continuing Education Chooses Gideon Taylor for Recruiting / ePAFTM Project The Department of Continuing Education (DCE) for Brigham Young University has selected Gideon Taylor as a consulting partner in a project to enhance DCE's recruiting experience. The project deals specifically with the special needs of DCE's Youth Programs. Previous attempts to use eRecruit 8.8 for Youth Programs have been plagued with practical difficulties. Gideon Taylor will provide functional and technical resources to help DCE overcome these issues and support the unique goals and needs of the Youth Programs effort. The project will also involve integrations between PS Recruiting and Gideon Taylor's ePAFTM solution, which BYU has been using successfully for two years. Recruiters will be able to launch into a Hire ePAF from within Recruiting with a single click. 15 December 2006 University of Alberta Expands ePAF™ Scope to Include Academics Demonstrating their confidence in the ePAF™ solution our combined project team has created for support staff, the University of Alberta has expanded the project scope to include automated personnel action solutions for Academic personnel. Called SmartForms, the ePAF™ project is jointly staffed by our implementation partner Sierra Systems, Gideon Taylor and university resources.
30 November 2006 University of Alberta Project Reaches Milestone With the Development stage of our University of Alberta ePAF™ / Smart Forms project nearing completion, we have reached the milestone of migrating to a staging environment in preparation for a rigorous System Test project phase. The University is also considering a project scope expansion, which would extend ePAF™ use to Academics.
9 November 2006 University of Oklahoma Health Science Center Goes Live on ePAF™ Having successfully completed Acceptance Testing and pilot production training, the University of Oklahoma Health Science Center has migrated the GT eForms framework and their custom ePAF™ application to their Production instance. It will be used initially by a pilot population of users who have received early product training. The first production forms have already passed through the approval process and into PeopleSoft. The initial feedback from end users has been very good, and the system is functioning as expected. The next phase of training and Production roll-out will begin November 27.
12 July 2006 University of Alberta Elects for Full ePAF™ Implementation Project In light of our successful completion of the Proof-of-Concept requirements, The University of Alberta has chosen to proceed with the full implementation of GT eForms and ePAF™. The implementation phase, staffed jointly by Gideon Taylor, Sierra Systems and university resources, will begin immediately. 10 July 2006 University of Oklahoma Health Science Center ePAF™ Project Begins Our GT Implementer Team is now on the ground at the University of Oklahoma Health Science Center, and is beginning the process of installing the GT eForms framework and the ePAF™ template. The team is also beginning the Planning phase of the project, which will include high-level defaulting analysis and project scope determination. We are excited to be working with another highly respected university, using our products and expertise to optimize their Personnel Action Form management and approval processes.
23 June 2006 Gideon Taylor Completes University of Alberta Proof-of-Concept Requirements Ahead of Schedule The University of Alberta has accepted the results of our Proof-of-Concept project as meeting their requirements. The "bridging" approach has worked very well. We have demonstrated, using our delivered Update Security Roles eForm, that a form can be initiated on the Financials system reading HRMS data, be sent via Application Messaging to the HRMS system, update delivered HRMS components and return the form status to the Financials-hosted GT eForms system. The University will now consider whether to fund a full implementation project for ePAF™.
5 June 2006 University of Alberta Proof-of-Concept Project Begins Gideon Taylor resources are on the ground at the University of Alberta, beginning a Proof of Concept project to demonstrate the feasibility of our "bridging" plan to host ePAF™ on their Financials 8.8 system, and pass the data to HRMS 8.3 via Application Messaging. We are working with our Sierra Systems partners and with U of A staff to prove out this innovative approach to their Smart Forms initiative.
17 May 2006 Gideon Taylor Wins University of Alberta Contract The University of Alberta in Edmonton, Alberta has selected Gideon Taylor's GT eForms and ePAF™ products to fulfill their Smart Forms initiative. U of A initiated the Smart Forms project in an effort to radically improve the processing of personnel action forms on campus. Their review has found that ePAF™ meets or exceeds all of their requirements for a Smart Forms solution. The U of A is using PeopleSoft HRMS 8.3, on PeopleTools 8.22. Because of the limitations of this older Tools version, we will attempt an innovative solution where GT eForms and ePAF™ will be hosted on their Financials application, Tools 8.45, and will communicate with HRMS 8.3 through Appication Messaging and DB Link-based views. The project will start with a Proof-of-Concept phase where we will test the feasibility and performance of this approach. Gideon Taylor resources will be working through Sierra Systems, a leading consulting services provider with offices across Canada and the United States, and a preferred services provider for the University of Alberta. We are excited to be partnering with Sierra Systems in bringing our electronic forms solution to the U of A.
09 January 2006 University of Florida approaches phase II of implementation and installation. Our GT eforms and ePAF™ solution continues to test well in Florida’s operating environment. The basic GT eForms and ePAF™ architecture is now in place, and our business analyst is helping distill essential routing and business process information for inclusion in the ePAF™ rollout.
10 December 2005 University of Florida installation ahead of schedule. With the advent of an improved install script, the basic installation work at University of Florida is proceeding ahead of schedule. Of course, the responsiveness of UF personnel in providing resources, assistance, feedback, and planning has been phenomenal. At this rate, we project to be able to relax a little over the Christmas-New Years week as the project continues to meet or beat planned milestones. |
