Accelerating PeopleSoft Innovation in Higher Ed - Top Schools Share Their Success Stories

How have schools like UC Berkeley, RIT, and NDUS implemented high impact eForms projects? How did they address custom needs when all are saying “go vanilla”?

All three schools hit this out of the park with eForms projects. Learn first-hand how they did it!

This webinar will provide attendees with an opportunity to learn how a diverse group of Higher Ed technology leaders and administrators built and implemented multiple, highly successful eForms projects. Whether you are in the middle of a digital transformation or are contemplating when and how to begin, this will be a unique and results-focused conversation you won’t want to miss.

Highlights:

o Learn how an 11-campus system in North Dakota (NDUS) built and published over 120 new eForms in just one year.
o Hear first-hand how Rochester Institute of Technology rebuilt their most complicated form (Leave of Absence/Withdrawal) and transformed their entire user experience.
o Discover how UC Berkeley has eliminated over 250,000 paper forms (approximately 500,000 pieces of paper) in just two years by implementing a wide range of eForms.

When done right, eForms have the potential to improve and optimize a broad range of Higher Ed processes and initiatives, from simple to complex. Whether replacing a simple PDF to creating a full-featured custom application, careful planning and robust engagement with experienced partners are key. We look forward to sharing and helping you navigate a successful eForms endeavor.

GT eForms Master Series: Configuring a Different File Extension List Per Form Type (November 2022)

For years, Gideon Taylor has hosted internal “Tips & Tricks” sessions to help our GT eForms designers and developers become more proficient with the software. This year, we’re turning that practice on its head and giving you the benefit of our senior consultants’ knowledge in a series of quarterly educational webinars exclusively for GT eForms Enterprise customers.

The GT eForms Framework provides eForm creators the option to customize which file extensions are allowed to be attached on an individual form type. This session covers how to use this feature.

GT PeopleSoft Master Series: Cloud, SaaS, PeopleSoft, and You - Preparing for What's Next (August 2022)

In today’s market, organizations have options on whether/how/when to move to the Cloud. Some are reimplementing to new SaaS solutions; others are optimizing PeopleSoft and lifting their existing ERP/HCM to the Oracle Cloud Infrastructure; and others are choosing to integrate Cloud-based solutions with their on-premise PeopleSoft applications.

Join us for an engaging discussion on factors to consider in evaluating your options and how to get the most value from the direction you choose. We shared insights to help you navigate the options and the marketplace. How do you engage Oracle? How do you evaluate providers for Cloud services and/or Cloud infrastructure? What are the benefits you should expect? What will your team be responsible for AFTER the migration?

We also shared best practices on some of the smart things your organization can be doing TODAY so that you’re ready for TOMORROW: Designing Cloud-proofed business processes that can easily move PeopleSoft down either cloud path; Automating manual tasks to help your staff redefine the nature of “work”; Identifying opportunities to reduce and retire third-party systems. Bring your questions and join us for successful strategies that will help you ensure a smooth landing if and when your cloud migration comes, and allow you to keep innovating in the meantime.

GT PeopleSoft Master Series: PeopleSoft Power Tools to Boost ROI - Chatbots, eForms, and RPA (July 2022)

Chatbots, eForms, RPA. There is no better return on investment in enterprise software than automation. Not cloud, not SaaS, not upgrades. The single biggest cost to enterprise software is the people needed to run it. Automation at all levels will drive efficiency and save your organization money.

Automation can be applied to various pillars, but the three most common are (1) automating work your backend users perform, (2) automating work your self-service users are asked to do, and (3) automating the work to support all of your users. For PeopleSoft customers, all three of these automation opportunities are available today! Join us for a crash course on the tenets of automation ROI and see how you can maximize the value, productivity, and performance of your PeopleSoft system. We’ll show you how you can automate user tasks and support with world-class digital assistants; automate business processes with Fluid eForms; and automate heavy backend work in PeopleSoft with RPA technology.

Eliminate clicks, simplify processes, increase visibility, and accelerate transactions. You will spend far less than on a new SaaS and have much greater returns. If you’re looking for more productivity, more efficiency, and more value, we will show you how to unlock that today from your HCM / FSCM / Campus Solutions systems.

PeopleSoft Master Series Webinar: A PeopleSoft Checklist to Ensure a Safe Environment for Students and Staff (June 2021)

Ready or not, COVID is still going to be with us for a while. Is your organization prepared? Even as you plan for a near-normal return to onsite work and learning, you may be faced with new requirements: administering wellness surveys, tracking vaccinations of students and employees, quickly identifying potential outbreaks, or enabling workflow for online leave requests. In this webinar recording, we discuss and demonstrate PeopleSoft tools and features that can support safety and wellness in the workplace and on campus. We review features available for PeopleSoft HCM and Campus Solutions, including:

  • Questionnaires, acknowledgements, and wellness surveys
  • Immunization tracking for staff and students
  • Workflow-enabled self-service incident reporting (to self-report a COVID infection or report others)
  • Health & Safety administration for managing COVID incidents and contact tracing
  • Analytics related to COVID incidents and lost workdays related to such incidents; insights on hot-spots based on dept, location, jobcode, etc.

PeopleSoft Master Series Webinar: A Guide to Building Custom Forms with Delivered PS 9.2 Tools
(June 2020)

Looking to create custom PeopleSoft forms and self-service applications? PeopleSoft 9.2 offers an intriguing catalog of tools, including Activity Guides, Approval Framework (AWE), Fluid Approvals, Page Composer, and the Fluid user interface. But what exactly do these tools do, and how do they work together to build an actual end-to-end, workflow-enabled form experience?

This video walks through each tool, providing a view of what they’re designed to do, how they work, and how a best-practices approach incorporates each of them. We focus special attention on where configuration options allow a functional analyst to contribute, and where developers will have to get involved.

At the end, you’ll see how the latest release of Fluid GT eForms™ for PeopleSoft incorporates and extends your 9.2 tools to deliver even more power and flexibility.

PeopleSoft Master Series Webinar: PeopleSoft, Visualized – Getting the Big Picture with Pivot Grids, Analytics, and Kibana
(May 2020)

PeopleSoft has some powerful tools available that can give you the big picture, letting you focus your attention where it is most needed.

This video demonstrates a pivot grid-based tool that helps us see what’s happening across thousands of PeopleSoft transactions including eForms. Related Actions let us drill into the transactions themselves, send emails to participants, and leverage administrative tools, all conditioned on user security.

We also discuss other visualization tools available in PeopleSoft, including Simplified Analytics, Fluid Dashboards, Oracle JET, and Kibana.

PeopleSoft Master Series Webinar: Including External Participants in PeopleSoft Workflow (April 2020)

If you’re like other organizations, you may have business processes that involve participants that don’t typically have PeopleSoft access. Whether it’s parents approving financial aid documents, vendors applying to do business, or new employees filling out pre-hire onboarding forms…all of these can benefit from having secure access to certain PeopleSoft pages and applications.

We’ll demonstrate an approach with the following components:

  • Token-based authentication of external participants
  • Self-provisioned external accounts and electronic signatures
  • Public-facing PeopleSoft portal that isolates and protects secure content
  • PS-based eForms that route workflow to and gather signatures from internal and external participants
  • Row-level view security for external participants

PeopleSoft Master Series Webinar: Getting the Most Out of Page and Field Configurator
(March 2020)

PeopleSoft’s Page & Field Configurator can provide a great alternative to custom development. Before you dive in, though, it’s good to do your homework.

Join us as we walk through a real-world business case that used the tool extensively to simplify the user experience for a very complex component, adjusting the behavior of over 100 fields. We’ll show you how we used the tool, what we learned, and a “before and after” comparison of the user experience including examples of:

  • Hiding unused tabs
  • Hiding unused fields
  • Adding field requirements
  • Making certain fields display only
  • Adding defaulted values
  • Enabling alternative displays based on user role

PeopleSoft Master Series Webinar: Effectively Scoping Electronic Forms Projects
(February 2020)

Creating custom forms in PeopleSoft can deliver a whole lot of goodness – more online self-service options, happier users, greater process efficiency – but it also requires some careful planning. How do you effectively gauge the amount of effort? Where does “config” stop and “custom development” begin?

We’ll demonstrate examples of different custom electronic forms that display a range of requirements and complexity, and help you understand what aspects ratcheted up the “difficulty meter”. We’ll discuss how to assess the complexity of your automation project and strategies for automating common form requirements using delivered tools as well as PeopleSoft bolt-ons like GT eForms. Face your next project like a pro!

PeopleSoft Master Series Webinar: Overcoming PS 9.2 Fluid OnBoarding Obstacles - Yes, 9.2 Fluid OnBoarding CAN Work for You!
(January 2020)

PeopleSoft’s delivered 9.2 Fluid OnBoarding offers a compelling, accessible onboarding experience for new employees. There are some hurdles, though, that can make delivered Onboarding an impractical solution. These include: • The Continuity Problem: The decision to hire starts in your Applicant Tracking System (ATS), and there is lots of usable data there. How do you transition from ATS to Onboarding to Hire without manual steps and data re-entry?

  • The Chicken and Egg Problem: The candidate needs an EmplId and a UserId to use Onboarding. To prevent duplicate IDs, you need to gather their birthdate and SSN to see if they already have IDs. You want to gather birthdate and SSN using Onboarding, but they can’t access Onboarding without an Emplid and a UserID…
  • The Cart Before the Horse Problem: You want the candidate to start Onboarding before their first day of work, especially Section 1 of the I-9, but they can’t access Onboarding until they are hired in Job Data.
  • The “We Do Things Differently Here” Problem: The delivered Onboarding steps are nice, but you have your own requirements peculiar to your organization that aren’t covered by what is delivered.
  • The No Man Is an Island Problem: You need administrators to manage onboarding, push it to completion, and approve certain transactions, but the delivered system has very limited management and workflow tools.
  • The First Impressions Problem: You want the onboarding experience to be a great introduction to your organization, but delivered onboarding is hard to brand.

The good news is that all these hurdles can be, well, hurdled! We’ll present solutions for each of these problems, painting a realistic picture of how delivered 9.2 Fluid Onboarding can work for you!

PeopleSoft Master Series Webinar: Custom Compliance Solutions for PS - MN's Wage Theft Statement
(December 2019)

Gideon Taylor and Hennepin County discuss and demonstrate the County’s new automated Wage Theft Statement eForm, a comprehensive, PeopleSoft-based solution designed to meet the requirements of Minnesota’s new Wage Theft law.

Created with GT eForms for PeopleSoft, the Wage Theft eForm leverages workflow-enabled acknowledgements, printable BI Publisher reports, and auto-generated forms and emails triggered by personnel actions. Beyond generating the initial wage theft statement when an employee is hired, any time a ‘qualifying event’ occurs, the employee is automatically sent a link to view, acknowledge, and print an updated wage theft statement. All of this is tracked within PeopleSoft as part of the employee’s personnel record.

Faced with new compliance regulations or custom automation requirements? Check out Oracle-certified GT eForms for PeopleSoft.

PeopleSoft Master Series Webinar: Drop Zones and Other Special Forces Tactics to Go Vanilla!
(November 2019)

Oracle keeps delivering great new tools to help PeopleSoft clients “de-modify” their systems. The newest is Drop Zones, delivered in PeopleTools 8.57. This video provides a step-by-step walkthrough of how to implement Drop Zones, as well as two other “go vanilla” tools – Page and Field Configurator and Event Mapping.

The second half of the video focuses on “go vanilla” strategy. When does it make sense to use each of these tools? Is there still a “right time” for custom development? How do you implement a successful “bolt-on” strategy that minimizes upgrade impact, but still expands system value and targets unique requirements?

Get the vision and the tools to implement Oracle’s best practices strategy to de-modify. Vanilla really is the best PeopleSoft flavor!
