University of Adelaide Automates Finance Processes, Title Requests with New eForms

The University of Adelaide (Adelaide, South Australia) has been busy creating new eForms focused on improving efficiency within their finance operations. The new eForms include:

Account Code Change

  • Allows employees to change the account code(s) to which their salary costs are booked. This makes it much faster and easier to change when employees move projects or change funding, reducing the volume of journals needed to book salaries to the correct codes.

Temporary Transfer of Delegations

  • Allows delegation holders to temporarily transfer their delegations to a proxy when on leave. The single form allows transfer of finance, HR and manager self-service delegations. Provides a much faster and simpler process for delegation holders, and reduces risk by eliminating the manual process that was previously in place to remove the temporary access.

Finance Access Request

  • Allows employees to request or amend access to the PeopleSoft Finance system and automatically configures their profile based on the role(s) required. Provides a faster process which automatically checks to ensure appropriate segregation of duties, and provides greater clarity around training needs.

In addition, they’re finishing development on a form to automate Titleholder Requests. This form will enable people who are working with, but not directly employed by the University, to apply for a title from the University. A separate workflow is also being developed to handle the periodic renewal of titles.

The University has been using GT eForms™ 2.9 for form creation, and has recently installed GT eForms™ 3.0. With a growing number of requests for new eForms in the queue, they’re looking forward to accellerating and expanding their form creation with the new release.
